Administrative Paralegal, Post Completions - Real Estate

The role

This is an excellent opportunity for candidates wishing to progress their legal career in a collaborative and supportive environment. The Post Completions Administrative Paralegal will provide support across the Post Completions Team and wider Real Estate Department, assisting with the progression of post‑completion formalities and related follow‑up work. You will support the efficient handling of registrations, SDLT, historic and inherited matters, and day‑to‑day workflow, contributing to the timely progression and resolution of post‑completion tasks.

Role responsibility

  • Work with all members of the Post Completions team to provide cross-team support handling post completion cycles and associated tasks.
  • Manage Land Registry Portal activity by clearing weekly downloads (postal and general). Ensuring a weekly review of the Land Registry portal to ensure no errors or missing documents.
  • Maintain oversight of caseloads by picking up and resolving outstanding applications and requisitions in a timely manner, including liaising with HM Land Registry and contacting fee earners where input or confirmation is required.
  • Review and progress historic matters, creating clear audit trails and uploading required documents to our case management system. Regularly monitoring requisition deadlines and ensuring proactive reminders and extension requests where necessary.
  • Liaise directly with HMLR to respond to requisitions, request extensions, and confirm status of applications where information could be missing.
  • Maintain and update tracking systems (i.e. spreadsheets) for requisitions, cancellations, and follow-ups, ensuring timely chasers are sent.
  • Managing the team inbox and liaising with team members on incoming enquiries and applications, assisting with larger-scale applications.
  • Carry out ad hoc tasks assigned via email or BigHand to ensure smooth team workflow.
  • Clear communication with fee earners and the wider team to confirm instructions and the timely progression of matters.
  • Flexibility to pick up ad hoc tasks, providing support across the team as needed.

  • BigHand - for instructions management.
  • TM Group - for AP1s, SDLTs, and requisition management.
  • HMLR Portal - for downloads, day list checks, and progress tracking.
  • Companies House - for company information verification and filing.
  • iManage - for file management and uploading documentation.

About you

  • Experience within a postcompletions, real estate or conveyancing support role.
  • Familiarity with Land Registry and HMRC procedures.
  • The ability to manage multiple tasks and deadlines in a highvolume, deadline driven environment.
  • Confident communication skills, with the ability to liaise effectively with fee earners, clients and third parties at all levels.
  • Strong attention to detail with a focus on accuracy and risk management.
  • Comfort using case management systems and online portals.
