Facilities Assistant

The role

We are looking for a Facilities Assistant to join our facilities team based in our No.1 London Bridge office.  This is an excellent role providing an opportunity to gain further experience in a varied legal facilities role. You will gain exposure to a mix of hands-on and administrative tasks, providing front-line support to internal clients, as well as liaising with suppliers and subcontractors and supporting the Facilities Manager.

Role responsibility

  • Acting as the first point of contact for receiving and tracking facilities requests, tasks and issues and escalating issues as appropriate
  • Co-ordinating engineers and repairs as required
  • Providing hands-on and practical problem-solving for a range of issues
  • Undertaking routine health and safety checks
  • Managing the Facilities store to a clean and tidy standard
  • Acting as main point of contact for fire wardens and first aiders, updating and maintaining the emergency planning process.
  • Playing an active role in planning annual shutdowns and project works.
  • Maintaining the Facilities Department pages on the Firm's intranet.
  • Processing invoices for Facilities including coding, tracking and preparing invoices for authorisation.
  • Recycling and waste management co-ordination
  • Managing the Access Control System and production of pass cards
  • Managing internal desk moves
  • Ordering business cards
  • Assisting the hospitality team with events in relation to lighting/heating/security measures, etc.
  • Other ad hoc administrative duties to support the facilities team, as they arise

About you

Ideally you will be able to demonstrate:

  • Proven experience of working in an office/corporate environment
  • Experience of Health and Safety at work including risk assessments (desirable but not essential)
  • Good organisational skills, with the ability to manage multiple priorities
  • Excellent communication skills with confidence and credibility engaging with internal and external stakeholders at all levels
  • Excellent client facing skills, gained in an office or other customer-focused environment
  • Good problem-solving abilities
  • The ability and confidence to take ownership of projects and tasks as appropriate
  • Strong team working skills with the ability to be flexible, resilient and self-motivated
  • A proactive and solutions orientated approach to work
  • Able to use a range of Microsoft tools including Outlook, Word, Excel and willing to learn new IT systems
